Privacy Policy

1. Information we collect

When you order, activate, update, or request support for AcadMates, we may collect:

• your registered teacher name and email address;
• your selected school level, product, order reference, amount, and payment status;
• licence, activation, app version, and device-related identifiers needed to protect and support your installation; and
• messages, screenshots, and technical details that you voluntarily provide when requesting support.

AcadMates PH does not ask for or store your GCash PIN, one-time password, or online-banking password.

2. Why we use this information

We process customer information to complete orders, confirm payments, issue and protect licences, provide downloads and updates, prevent fraud or misuse, respond to support requests, maintain transaction records, and comply with applicable legal obligations.

3. Payment processing

Online QR Ph payments are processed through PayMongo. The payment provider handles payment credentials and sends AcadMates PH the transaction information needed to confirm an order. PayMongo's own privacy terms also apply to information processed on its checkout service.

4. Sharing and disclosure

We do not sell customer personal information. Information may be shared only with service providers needed to operate checkout, hosting, email, licence delivery, updates, security, or support; when the customer requests or authorizes it; or when disclosure is required by law.

5. Storage, protection, and retention

We use reasonable organizational and technical safeguards appropriate to the information processed. Records are kept only as long as needed for the purposes described above, including licence support, accounting, dispute resolution, security, and legal compliance, then securely deleted or anonymized when no longer required.

6. Your privacy rights

Subject to applicable law, you may ask to access, correct, or obtain information about your personal data; object to or request restriction of certain processing; withdraw consent when consent is the basis; request deletion when legally permitted; and raise a privacy concern.

7. Local school records

Teacher and learner records entered in the installed AcadMates system are designed to remain in the customer's local workspace unless the user deliberately exports, sends, or uploads them. Customers remain responsible for lawful collection, access control, backup, and protection of school records under their custody.
